Run and schedule agent tasks

Run an agent task, review the proposals it makes on the run page, set tasks to repeat on a schedule, and delete runs you no longer need.

Run an agent task when you want drafts, an audit or a report, then review what it proposes on the run page. You can also set some tasks to run on their own on a schedule.

Before you start

Some tasks need something set up first. When it's missing, the task's Run button is replaced by a link that takes you to the right place:

Run a task

  1. In the sidebar, click Agents.
  2. Find the task you want under its assistant: Social Media Assistant, SEO Manager, Data Analyst or Email Marketer. Click Run on its card.
  3. If the task needs input, a form opens under the card and the button reads Close. Fill it in. The Calendar Planner, for example, asks for a Goal, a Launch date, the Platforms to draft for, and optional Notes (optional) and Brief (optional). A brief is your own words about what to cover, offers, links and what to avoid, up to 4,000 characters.
  4. Click Run now. Some tasks name this button for what it does, such as Draft posts, Run audit, Find gaps, Suggest links, Find candidates, Check competitors, Write report, Find trends, Learn my voice or Plan emails. To close the form without running, click Cancel.

Some tasks need no input and start as soon as you click Run.

Platforms marked · copy only aren't connected. Pinned still drafts posts for them, and you copy those by hand.

The top of the page shows how many manual runs you have left today. Manual runs are limited to 15 a day, and each run takes up to about two minutes. A task can only have one run going at a time: while it works, its button reads Running… and can't be clicked.

What the run statuses mean

StatusMeaning
QueuedThe run is waiting to start. It's usually done within a minute, and the page updates on its own.
RunningThe task is working.
DoneThe run finished. Its results are on the run page.
FailedThe run stopped. The run page shows the reason under This run failed.

Review a run

Click the last-run line on a task's card, marked Open, to open its run page. Runs are also listed under Runs on the Agents page. A card that hasn't run yet says Never run.

The header shows the assistant, the task, its status, whether it was a manual or scheduled run, and when it finished.

The page has these parts, top to bottom:

  • Summary: a short account of what the run did.
  • Report: a longer write-up for tasks that produce one. Click Copy to copy it.
  • Items: the proposals the task made, grouped by kind. Nothing goes out without your click.

Each group has a heading with a count, such as Emails or Posts. Open proposals come first, and dismissed ones fade and move down. Each card has a status pill:

Some cards word the finished state for what happened. A keyword you added shows In backlog, an approved email shows Draft campaign, and a queued refresh shows Refresh queued. Findings show Open until you mark them Handled.

Act on the items

GroupWhat you can do
PostsEdit the text, date and time on the card. Your edits save when you leave a field. Use Add media where a post needs a picture or video. Click the schedule button on the card to schedule that post, or use the Schedule all button above the group to schedule every ready post at once. Copy caption copies the text. Rewrite asks the agent to rewrite the draft from a line of instructions, and Dismiss removes it. If a post can't be scheduled yet, the card says why.
RepliesSend posts the reply where Pinned can send it. Otherwise the card tells you to paste it on the platform yourself. Copy, Rewrite and Dismiss are also on the card.
KeywordsAdd to backlog adds a keyword to the SEO Tool, and the Add all button above the group adds every open one. Copy list copies them instead. Adding needs the editor role in the SEO workspace.
RefreshesQueue refresh sends the article to the SEO Tool, where the refreshed version waits for your approval.
Internal linksTick the suggested links you want, then click the Propose links button. The change still needs your approval in the SEO Tool.
FindingsMark handled once you've dealt with it.
InsightsOpen shows the source link where there is one. Dismiss removes the insight.
EmailsEdit the name, subject, preview text, date and time on the card. Approve as draft creates a draft campaign. Approve & edit creates it and opens it. The Approve all as drafts (2) button above the group does every email at once; the number is how many are waiting. Preview and Copy HTML are also on the card. Nothing is scheduled: you finish and schedule the draft in Campaigns.

To rewrite a post or reply, click Rewrite, type what should change in the box, then press Enter or click Rewrite again. Check the new draft before you schedule or send it.

Posts you schedule from a run go to the accounts of the workspace the run was made in. The note under Items tells you which one.

If an action fails, the card turns to Failed and shows the reason. Fix what it says and try again.

Schedule a task

Tasks that can run on a schedule have a Schedule switch at the bottom of their card. Tasks that always need your input, such as the Calendar Planner, Post Series and Content Repurposer, don't have one.

  1. On the Agents page, find the task's card.
  2. Turn on the Schedule switch.
  3. Use the drop-downs that appear next to the switch to choose how often the task runs. Weekly schedules also ask for a weekday, and daily and weekly schedules ask for an hour.

While the switch is off, a line under it shows the most frequent schedule the task allows, for example Off · at most weekly. Changes save as you make them.

Scheduled runs use no form. They take their details, such as your site, topics and competitors, from Agent settings, at the bottom of the Agents page. They run in this device's timezone, and their run pages say Scheduled run.

Resume a paused schedule

A schedule pauses after three failed runs in a row. The card then shows Paused: with the last error. Fix the cause, then click Resume. Turning the Schedule switch back on does the same.

Delete a run

  1. Open the run page.
  2. Click Delete run, the button with the trash icon at the top right.
  3. Confirm the message Delete this run and its open proposals? Anything already scheduled, sent, or applied stays.

You return to the Agents page. The button is disabled while the run is queued or running.

The page says Agents are a Business feature

Agents are only on the Business plan. Click Upgrade to Business, or read Choose a plan and upgrade.

My run failed

Open the run page and read the reason under This run failed. Fix it, then run the task again from the assistant's tab using the link under the reason.

The page says the run wasn't found

The page shows Run not found. The run may have been deleted, or it belongs to another account. Click All agents to go back.

A run finished with no items

Some runs find nothing to propose. The page then says This run made no proposals. Check the summary for why.

A post can't be scheduled

The card shows the reason under the post. Posts for some platforms need media. Click Add media to attach it. A post can have up to 4 images.
